Planning a backyard party should feel fun—not like a second job. Whether you’re celebrating a birthday, school milestone, or “just because,” this checklist will help you pull off a smooth, safe, stress-free event in Southwest Florida.
Why a checklist matters (especially in SWFL)
Between surprise rain, heat, and busy weekend schedules, parties in Lee County and surrounding areas can get hectic fast. A simple plan keeps things easy—and helps you avoid last-minute scrambling.
2–4 weeks before: lock in the big stuff
Pick your date + time window (most parties run 2–4 hours)
Set your guest count (this helps you choose the right size inflatable)
Choose your party “anchor”: water slide, bounce house, combo, foam party, or games
Book entertainment early (weekends fill up fast in season)
Plan for weather: have a backup plan for heavy rain or lightning
1–2 weeks before: confirm details + prep your yard
Measure your setup space
Include room for the inflatable and safe clearance around it
Don’t forget overhead clearance for trees
Check your sprinklers (mark heads so they don’t get hit during setup)
Decide where power will come from
Identify the closest outlet
Plan for extension cords if needed
Think about shade + hydration
In SWFL, heat is real—set up a cooler, water station, or shaded seating
3–5 days before: make it easy on yourself
Send a reminder text to guests with parking notes and start time
Prep a simple menu (keep it kid-friendly and low-stress)
Create a “party bin”
Trash bags
Paper towels/wipes
Sunscreen
Bug spray
First-aid basics
Phone charger
Confirm delivery details
Gate codes
Best driveway access
Any tight turns or backyard entry notes
Party day: setup, safety, and flow
Clear the setup area (toys, branches, pet mess, furniture)
Keep kids away during setup (it’s the fastest way to keep things safe)
Set simple rules
No shoes
No sharp objects
One at a time on slides (or follow posted capacity)
Plan your “high-energy” window
Put the inflatable front-and-center early
Save cake and presents for later when kids are ready for a break
After the party: quick cleanup wins
Do a 10-minute sweep before guests leave (trash + leftover food)
Separate wet towels/clothes (water slide parties = laundry pile)
Leave the inflatable alone until pickup (don’t deflate or move it unless asked)
Choosing the right inflatable for your part
Here’s a quick guide:
Water slide rentals: best for warm months and bigger energy
Bounce houses: great for younger kids and smaller yards
Combo units: bounce + slide in one (awesome for mixed ages)
Foam parties: a unique “wow” option for birthdays and school events
Interactive games: perfect for older kids, teens, and corporate events
